subscription plans was created by Chris Moyses
Good evening
I have a query about subscription plans
I belong to the Bailey Owners club, which is a social club that own Bailey caravans and motorhomes.
Members of the public that own a bailey leisure vehicle, can join the club from our website
New members are charged a £20 fee to join, which is reduced to £10 if they join after 1st July
We have two Plans for new members
Annual Membership plan with a £20 joining fee
Annual Membership plan - partial year with the £10 fee
At present when new members fill in the joining form on the website, if it is after 1st July, the joining fee is £20.
The only way it can be changed to display £10 is to edit the Annual Membership plan to £10, then put it back to £20 later in the year
I notice there are two date fields on the Scription plans
Fixed end date - for the annual plan, should this set to the 30th June
( I have noticed on other plans this date is set to a date in past, one is set to a date in 2018, should I be concerned about this)
in Advance Settings > Subscription start date option - should a set the date 1st July
(at present, all the plans has this set to 'Register Date' What is a register date?)
If this is the correct thing to do, Can these dates be changed automatically, or is it a case these dates will have to manually changed in the future
Your advice would be very much appreciated
regards
Chris

Hi Chris
That pricing structure is not supported by the system. So Yes, you will need to edit plan and change price manually
The fixed end date means every subscriptions will be expired on that same date, not depends on the date users sign up. And for that, you do not have to change the date every year. It is handled automatically by the system
Hope my answer is clear to you
Regards,
Tuan

Thank you for the reply Tuan
I have just taken over the role as webmaster and on a steep learning curve.
I will add the update to the reminder list
Is the Partial Year plan surplus to requirements, will it not be used by the system even if I put a date of the 1st July in Subscription Start Date Option
Also what is a Register Date
regards
Chris

Hi Tuan
We have two subscription plans set up to be used by new members joining our club via our website, both have been given public access
1. Annual plan with a cost of £20 joining fee, If they join between 1st October and the end of December, their subscription is valid to the end of the following year for the £20 fee, this plan needs to be active from the 1st October to 30th June the following year
2. Annual plan - partial year with a cost of £10 joining fee, this plan needs to be active from the 1st July until 30th September
At present the partial year plan is not picked up by the system, I have to edit the annual plan to reduce the fee to £10
Is it possible now to give a start date for the Annual plan of 1st October 2025 and a start date of the partial year plan of 1st July 2025
After 1st October 2025, change the start date of the partial plan to 1st July 2026, then after 1st July 2026, change the annual plan start date to 1st october 2026
At present as things are configured, there has to be manual updates on the joining fee on the 1st of July and the 1st of October, which means someone has to be available on those dates to make the change. As all of us involved with running the club do so on a voluntary basis, this might not be possible. I was hopeful there was a way to automate the process. I know manual updates will have to be done, but if there is a window do do it, it would make my job a lot easier.
Hopefully this makes it clearer to what I want
Regards
Chris

Hi Chris
Unfortunately, there is no way to configure the system to automatic this process, so the change will need to be done manually
If it is really needed, customization to the code will be needed to make that happens. But that's not something quick and easy, so it will cost you about 100$. I'm afraid of it's not worth to invest that money, so for now, please try to make the change manually
Regards,
Tuan

Morning Tuan
Sorry about the delay in replying, We have been upgrading our website to version 5.3
I have one more question about subscription plans
Leave the end date as it is, even though it might be in the past
plan 1 set the Subscription Start Date Option 1st October 2025
plan 2 set the Subscription Start Date Option 1st July 2025
If a member joins on 2nd October 2025, will the system use plan 1
If a member joins on 1st September 2025, will the system use plan 2
If this is the case, it will give me a window to amend the start dates, else I will have to amend the fee on plan 1 on the 1st July and 1st October
Regards
Chris
