Hey OS Solution !

I've send this question using the email contact form on your site but never got a reply; which i think is a shame.
I'm looking at E-Docman for a very specific case of a client of mine; let me try and describe the situation as good as i can.

This client needs a centralised folder structure with a lot of files in; this can be an FTP server. (thus far; i think E-Docman is suitable).
Their RDP program automatically creates (empty) folders in that structure; these folders are always the same; except for the root folder (this is a folder structure for every client). So the overall structure can be:

ROOT
-Client 1
--folder A
--folder B
-Client 2
--folder A
--folder B

and so on.
Now , my first question is; can E-Docman automatically add these files when they get added to folders. Can we set ACL on folders; and then add files in the folders (so the folders have access rights which the files inherit automagicly. )
And my second question; let says one of the clients "client 3" has 10 folders; can we give the client access to 9 out of 10 and another client access to all 10 folders ?
Are the folders which are not accessible by the client; hidden or do they show up ?

Hi Randy

It seems the email was not delivered to us for some reasons. We never ignore any emails from our users. Back to your questions:

1. Yes. EDocman can add these files automatically when they get added to the folders (there might be some delays because the process is handled by a system plugin which only run one per hour). To help the system determine the category these documents will be assigned to, you will need to have some clever setup:

- Activate herachical folder structure feature of the extension (in EDocman -> Configuration).
- Setup all necessary documents categories, each category point to a folder.

2=> For your second questions, yes, it is possible. For each category (folder in this case), you can enter ID of the user(s) you want to give access to (comma separated if there are multiple users) into User IDs field of the category and only these selected users can have access to that category, thus it's documents

As far as I can see, EDocman can handle this complicated requirement perfectly

Hey Tuan;

Thanks for the reply; i do have a followup question if you don't mind.

You mention that we have to make sure to create categories according to the folders.
Does this mean that we need to recreate the same categories for every new client; or can we copy one categorie structure and change the most upper level of the categorie structure (ie; client 1; client 2; ....)

So we bought the extension; but i can't get it work the way you advertised it.

First off; getting answers true this forum is a nightmare.

when i finnaly figured out the auto import plugin; i discovered that i needs a designated folder, so it does not work on the structure i presented.
Now i need to add a Path in all my categories; but i can only add a single folder paht ea: "folder1" i can't add this: "folder1/subfolder"
or are there any solutions to this ?

Hi Randy,
In Configuration page of Edocman, if you select Yes at field: Use Herachical Folder Structure, then, when you create categories, you can specify the folder where documents from this category will be stored.
I will give you an example for more details:
You have 3 categories and you want the documents of these categories to be stored in different directories. You can setup the "path" of those categories.
- Category1 will have "path" is category1
- Category 2 with have "path" is category1/category2
- Category 3 will have "path" is category1/category2/category3
Then, you can copy the documents into corresponding directories. After that, go to Back-end > Extensions > plugins > Auto Import plugin. Select Category 1 and wait one hour, then, selecting Category 2, category 3.

Hey Dam;

Thanks for your answer; but i can't get it to work like that.
When i try and fill in a full path in the path field, everything behind the "/" get deleted.
So when i fill in: path/to/my/folder and i press save; only the /folder remains. Any idea why that is ?
