Keeping Offline Renewal Dates

Keeping Offline Renewal Dates was created by Annamarie Hessman
Some of our membership renewals come to us on paper offline, then are entered into a "master" database along with the Membership Pro memberships. Sometimes it is a week or a few weeks before the person who receives the paper/offline renewals notifies the person doing the update in Membership Pro.
If we renew a membership manually in Membership Pro, there is no option to edit the date to match the offline database, and an email is sent to the renewing member with dates that don't match the offline master database or their check deposit .
If we import the renewals as well as the offline new memberships, will Membership Pro handle it the same way as if we had performed a renewal in the front end, but use the dates imported?

Hello
You can just create a new subscription record for the user as a way to create renewal. When you create a new record like that, you can enter subscription start date and subscription end date to meet your need

Is there no difference in the data between a subscription created as a renewal vs. a new subscription, for someone who already has a subscription (which may or may not yet be expired)?

Hello
Exactly what is the data you are talking about? When a subscription is renewed, the system should create a new subscription record for that renewal. The subscription start date of the new subscription will be calculated using this rule:
- If subscription was expired, today date will be the start date of the renewal
- If subscription is still active, the start date of new subscription will be expired date of previous subscription + 1 second
Not sure what is the issue you are having here?

OK, so there are several issues with "just create a new subscription" as a solution.
First and probably most importantly, they get different messages when they are new vs. existing members, tailored to their relationship with the organization. It makes us look bad to send messages that are not relationship-appropriate.
Two, we (and sometimes they) need to be able to review information during the renewal/upgrade process to ensure it is accurate -- including contact information and some other firleds.
Membership managers need to be able to adjust dates for renewal and expiration before the acknowledgement is sent to the member. They also need to be able to enter the Member ID for the Membership, which is generated by the offline DB, not by Membership Pro.
