Cancellation invoice with its own number - possible?

If i cancel a booking just the status of the invoice is overwritten - that alone is usually not sufficient - at least in the EU. A proper cancellation of an invoice should generally be done through a cancellation invoice (credit note). Here are the key points:
 1. Cancellation invoice with its own number
  • Instead of just changing the status of the invoice, a separate cancellation invoice with its own consecutive invoice number should be created.
  • The original invoice remains unchanged.

2. Reference to the original invoice
  • The cancellation invoice should include a reference to the original invoice number (e.g., “Reference to invoice no. 12345”).

3. Display negative amounts
  • The invoice amount should be displayed as a negative amount in the cancellation invoice so that accounting can process it correctly.

4. Consider VAT
  • If VAT was included in the original invoice, the cancellation invoice must also show the tax correctly as a negative amount.

5. Documentation for tax and accounting purposes
  • Tax authorities and accounting software require a traceable record. Simply changing the invoice status would not be sufficient.

Germany & EUIn Germany and most EU countries, it is legally required that an invoice cannot be modified after issuance. Instead, a credit note or cancellation invoice must be issued.
  • Invoice numbers must be sequential – modifying the original invoice retroactively would not be correct from an accounting perspective.
  • VAT considerations: Any correction must properly adjust the originally charged VAT amount.
  • Documentation: Tax authorities require a clear and traceable record of all invoices and corrections.

EU RegulationsThe EU VAT Directive (Mehrwertsteuersystemrichtlinie, MwStSystRL) sets general rules for invoicing and cancellations, which member states implement in their national laws. As a result, the rules in most EU countries are quite similar.

So is it possible to implement the invoice feature so that its useful in Germany / EU?

Hi Tuan,

I completely understand that. And it doesn't bring me any joy either.

Unfortunately, the laws and rules in the EU and Germany are very strict and incorrect handling is punished severely. We currently cannot use the invoice feature because it is not sufficient for the EU/Germany.

This also applies to the current case regarding e-invoices as already stated in another post. It all ties together.

Maybe that's the motivation to revise the feature so that your really great software stays up to date.
