Add a [TRANSFER_LINK] Tag for Emails was created by Christopher Malley
The Problem: Sometimes, we must cancel a class at the last minute (for example, if the instructor is sick). Right now, the process to move students to a new class is very slow. Here is our current manual process:
The Solution: Please add a new tag, like [TRANSFER_LINK], to the Mass Mail tool to automate this process.
How it will work:
Possible Backend Settings: To make this feature safe and useful, I suggest these settings in the backend:
Additional Use Case: Standard Confirmation Emails. This tag would also be very valuable to use in standard "Booking Confirmation" emails. If a student's plans change, they can click the link to change their own class date. This allows students to move on their own without asking the office team for help.
Why this is useful: This feature will save admins many hours of manual work. It will also give customers a very fast, easy way to choose a new class on their own.
- We send an email to the students.
- We wait for the students to reply with their new chosen date.
- An admin logs into the system and manually moves each student.
The Solution: Please add a new tag, like [TRANSFER_LINK], to the Mass Mail tool to automate this process.
How it will work:
- The admin sends a Mass Email about the canceled class and includes the [TRANSFER_LINK] tag.
- The system creates a unique, secure link for each student.
- The student clicks the link.
- The link opens a webpage listing available upcoming classes.
- Next to each class/event is a button labeled "Transfer to this Event".
- The student clicks the button. The system automatically moves their registration, and a transfer confirmation email is sent. The student does not need to log in.
Possible Backend Settings: To make this feature safe and useful, I suggest these settings in the backend:
- Link Expiration: Allow admins to choose how many days the link will remain active (for example, the link expires after 7 days).
- Date Limit: Only show events happening within a certain time (for example: only show classes in the next 6 months).
- Same Category: Only show available classes in the exact same category as the canceled class/event.
- Price Rules: Only allow students to transfer to classes/events that cost the same price or less.
- Hide Full Classes: Do not show classes that are already full.
- Limit Use: The student can only use the link x times.
