A question about categories and access levels. was created by Lucio Matsuno
Hi! Is it possible to upload documents with only a few users being able to see it when they belongs the same group with same access levels?
I want to create a group of clients and then uploading documents. Then, I want that when selecting the owners of this document, only the selectioned owner could be able to see and download the file.

I found a post saying it's possible, creating groups, access levels and the creating users inside those groups and levels. How can I filter who will be able to see and download the files?

Hi Lucio,
Thank you for your question! Yes, it is absolutely possible to achieve what you described. There are two main ways to control who can view and download documents:

1. Assigning an Owners Group to a Category:
You can create an "Owners" group in Joomla, which can include any users you choose. When you assign this group as the owner of a category, only users in that group will be able to access the documents within that category. Users from other groups will not have access.

2. Assigning Individual Owner Users to a Category:
Alternatively, you can select specific users as the owners of a category. This method requires you to manually assign each user, but it is ideal if you want only a small number of users to have access to the documents in that category.

Both methods allow you to control exactly who can see and download your files. Please let me know if you need detailed instructions or further assistance with setting this up.

Thanks
Dam

Hi Dam! Thanks for the answer! Could you help me with another question?

Is it possible selecting the owner (user) of the document when i use the ajax upload?
Right now, I select multiple files, and the category of them. But then, I need to go to the settings of each file i uploaded and select the owner (user) of the document.

There is another way to do that?

Hi Lucio
Thank you for your question.
Currently, when uploading documents using the Batch Upload tool, it is not possible to select an Owner for the documents.
If you need to assign Owners, you will need to do this manually after the upload.
Thanks
Dam

Thanks for the help!

I would like to something like this:

- Category “empresa_01” - only the user “cliente_01” could view and download documents in this category.
- Category “empresa_02” - only the user “cliente_02” could view and download documents in this category.
- Category “empresa_03” - only the user “cliente_03” could view and download documents in this category.
All users should be on the same access level group, so the management of the website could be easier.

This way, when we upload files, we only choose the category and everything will be solved, because only the users from the categories above will have acess and permission to download.

Is it possible this way? If you think you could help, I can pass adm details of the website privately!

Appriciate the help, Dam!

Hi Lucio,
Yes, it is possible to achieve what you described. You can assign each user as the owner of their respective category (for example, make “cliente_01” the owner of “empresa_01”, and so on). When a user is set as the owner of a category, only that user will be able to view and download documents in that category. This approach allows you to keep all users in the same access level group, simplifying your website management as you requested.
With this setup, when you upload files to a category, only the assigned user (owner) will have access and permission to download documents from that category.

Thanks
Dam

Hi Dam,

I actually did that!
I set the user "cliente_01"as the owner of the category "empresa_01" and when I upload a document I select only the category (because the owner user was already set previously when I created the category)

But, other users (cliente_02 and cliente_03) from the same access level group (and other categories) keeps seeing the documents that they shouldn't be able to.

Probably i did some settings wrong. But, i can't identify to!

Hi Lucio,
I’d like to clarify that currently, when you create a new document in the backend, Edocman does not check the Owner users and groups settings of the categories. These ownership restrictions are only enforced when documents are uploaded from the frontend.
Thanks
